Refund Policy
Swim Club Refund and Cancellation Policy
Thank you for choosing to be part of our swim club community. We strive to offer the best possible experience to all our members. Please review our refund and cancellation policy below:
1. Swim BC Fee – Non-Refundable
The annual Swim BC registration fee is non-refundable under any circumstances, including withdrawal from any program.
2. Monthly Billed Programs – 30 Day Notice Required
To cancel any monthly billed program (Valhalla, Rocky, Monashee or Purcell), a minimum of 30 days written notice is required. The notice period begins on the 1st day of the month of the next billing cycle. (eg. If notice is given October 10th, the swimmer will still be billed for the month of November).
3. Session Billed Programs
To cancel out of any session billed programs (Mini-Bugaboos and Bugaboos), written notice must be provided and a refund will only be considered in the following circumstances:
- The request is made in the first 1/2 of the session, and;
- There is a waiting list for the program.
4. Refund Eligibility
Refunds may be considered under the following circumstances, and must be requested in writing:

Medical reasons: A prorated refund may be issued if a participant provides a valid medical note stating they are unable to continue due to injury or illness.

Relocation: A prorated refund may be issued if the participant is moving out of the area.

Program cancellation: If the club cancels a program, a full or prorated refund will be offered depending on the number of sessions completed.
5. Non-Refundable Circumstances
Refunds will not be issued in the following cases:

Missed practices due to scheduling conflicts, vacations, or non-medical absences.

Voluntary withdrawal without proper notice.

Pool closures or events beyond the club’s control.

Missed practices due to the team traveling to an out-of-town swim meet.
6. How to Request a Refund
To request a refund, please submit a written request via email, kootenayswimclub@gmail.com. All refund requests will be reviewed on a case-by-case basis and processed within 1-2 weeks of approval.
